AEG Presents – the Touring, Festival and mid-sized venue division of AEG – is looking for a Tours Assistant to support our International Touring Team with the day-to-day administration that underpins every successful tour. This is a high-detail role where accuracy matters — you'll be trusted to keep essential information clean, current and consistently recorded across multiple trackers and systems.
This role is all about office-based administration, routing support and maintaining trackers and spreadsheets. If you get satisfaction from order, accuracy and getting the detail right, you'll love it. If you're looking to be “on the road” or in show environments most of the time, this won't be the right match.
What you'll be doing
Tour tracking & data accuracy
- Keep all show and tour information fully up to date across internal tracking documents from offer through to settlement
- Maintain multiple trackers and databases, spotting inconsistencies and correcting issues before they become problems
Routing, venue holds & availability
- Request, chase and collate venue availability, support tour routing and manage pencil holds
- Keep the wider team informed with clear, timely updates when holds move, dates shift, or availability changes
Documentation & systems admin
- Draft internal tour builds and memos in ALTO (our in-house system) and prepare event confirmations / approvals
- Create and format internal and external documentation so it's easy to follow and error-free
Research & presentation support
- Research venues, artists, tour histories and ticket pricing, and pull this into clean, well-structured materials
- Support decks and summaries where needed, ensuring figures and references are correct
Guestlists & stakeholder coordination
- Manage guestlist additions and allocations, ensuring lists are shared with ticketing and relevant stakeholders ahead of show dates
- Communicate accurately and quickly so stakeholders receive the right information at the right time
Team support
- Help keep track of project status across the team and update global touring trackers
- Pick up ad-hoc admin tasks and support effective teamwork across departments and international offices
What we're looking for
Strong administration experience and exceptional attention to detail
- You enjoy structured work and take pride in getting things right — names, numbers, dates and versions matter
- You can juggle multiple tasks and keep moving even when priorities change
Advanced Excel capability (with large datasets)
- You're comfortable working with lines and lines of data and keeping it accurate
- You can use Excel to organise, validate and maintain information confidently (e.g., filters/sorting, formulas, lookups, pivots)
Clear communication and reliability
- You can share information quickly and accurately, in a way that's easy for others to understand
- You take ownership of tasks and follow through
What success looks like in this role
- Trackers are always current, clean and trusted
- Pencil holds and availability requests are chased and recorded properly
- The wider team can rely on your documentation and updates without having to re-check them
- You spot gaps early and resolve them calmly and methodically
